Customer Service Executive (Temp Role)

About the role:

Support Customer Service Manager and ensure customer requirement or responsibility is fulfilled on a timely manner.

 

Key Responsibilities includes:

  • Provide professional customer service, quotation, sales orders, shipping documents and necessary report after shipment, arrange samples to customer, handling customer enquiries and complaints, handle customer visit or meeting on quotation & contract.
  • Handle price quotation & Contracts Management- close cooperation and coordinate with pricing and sales department to ensure sending price quotation to customer in a reasonable time frame. Ensuring customer signs sales contract via fax or email, archives in share folder, updating of customer information in SAP via finance dept. by submitting customer maintenance form & monitoring open contracts
  • Customer Orders Management; Handles sales order and shipment processing abiding to SOP process.  Ensuring FIFO order processing, prevent overdrawn of contract volume, monitoring and coordinate to ensure achieving prompt delivery, handle customer enquires/ request management e.g. samples, certificates, reports, shipping documents, payment issues & etc.  Make arrangement sample to customer (sample request database, coordination with PD & Warehouse) and follow up with customer to get the feedback of the sample (optional, depends on sales request)
  • Customer Complaints Management ; Manage customer complaints and escalate to investigation team via complaint database & ensure the two customer within corporate timeline, if necessary, initiate conference call with customer and our internal dept (QA, Operation, PD, etc)
  • Prepare weekly Meeting Reports such as sales order report, stock report review (upon request), customer list review (upon request) and other reports i.e. customer status list, potential customer list, enquires list, customer visit reports, customer meeting minutes, etc.)
  • Other Administration/Filing Management/Supporting Functions such as ;
  • Managing customer account receivables professionally and promptly
  • Work with Production, Warehouse and Planning departments on production scheduling and inventory
  • stock holding to obtain optimum cost and service levels
  • Provide support to commercial managers in trading/distribution activities
  • Propose and implement work improvement plans within the scope of ISO requirements
  • Additional duties as assigned by Customer Service Manager from time to time

About You:

  • Bachelor Degree in Business Management – Business studies or other related courses
  • 1-2 years working experience in related skills; 
  • Has knowledge or specific business understanding
  • Sales and Marketing exposure would be added advantage
  • Fluent in English
