About the role

The Transport Coordinator will be responsible for the daily execution of freight management from working closely with Global procurement in managing Logistic Service Provider (LSP)s, contract allocation, up to verifying freight invoices against contracted volume and rate.

The Transportation Coordinator also serves as Single Point of Contact (SPOC) on daily freight issues/enquiries from sites, regional and other departments (i.e. commercials, finance, and regional SC team).

Key Responsibilities include;

  • Validate and ensure accurate processing of freight invoices in VIM (SAP) across all sites, ensuring alignment with contracted Logistics Service Providers (LSPs) prior to contract expiry.

  • Create and maintain LSP frameworks in VIM (SAP) for new contracts, coordinate with LSPs (contract and spot) on monthly Statements of Account (SOA) and resolve disputed or rejected invoices promptly.

  • Organize and lead meetings with LSPs to address invoice disputes; prepare and present dispute resolution reports for performance reviews.

  • Support and coordinate with Business Coordinators and 4PLs to ensure booking requirements are met; actively participate in LSP Contract Awarding sessions (Intra-Asia and Long-Haul lanes).

  • Address and mitigate shipment interruptions including equipment shortages, schedule conflicts, and LSP performance issues.

  • Maintain close collaboration with the Global Logistics Sourcing Team on contractual freight terms, rate updates, and visibility of key logistics data.

  • Compile and analyze freight cost data for the annual APAC freight budget and prepare monthly freight accrual reports for management.

  • Monitor and report on monthly LSP invoice validations (PO and non-PO) against contract frameworks.

  • Source and manage spot rate freight for non-contracted lanes and support both LCL and air freight shipments as required.

  • Coordinate special shipment requests such as inbound "cake shipments" to Batam via 3rd-party suppliers.

  • Act as Single Point of Contact (SPOC) for freight-related inquiries from Commercial, Customer Service, and Supply Chain teams.

  • Represent the team in monthly Freight Management meetings and weekly BC US/NAFTA calls to discuss shipment performance, issues, and updates.

  • Interpret and respond to diverse shipping-related inquiries and proactively gather required information.

  • Contribute to continuous improvement initiatives related to freight and transport processes.

About you

  • Bachelor/Diploma degree in SC/Logistics, business administration

  • Demonstrated understanding of Logistics processes & market, trends and their financial levers

  • Proficient in English (oral & written) and (preferably) one local/Asian language.

  • More than 5 years’ experience in Transportation/Freight and Distribution and/or related field

  • Minimum 5+ years of relevant experience in a matrix organization, ideally within high volume Manufacturing, Distribution or B2B organization in logistics operations function

  • Deep knowledge of the SC/Logistics, Transport & Warehousing processes

  • Knowledge of customs & international export/import policies

  • Recommending effective solutions to enhance Logistics performance.

  • Proficient in MS Office Suite and Google (Gmail, Drive, Calendar) tools

  • Proven ability to multitask & prioritize in an extremely high volume/fast paced environment

  • Proven ability to process variable inputs to clarify/follow up on incomplete & ambiguous information

  • Proven ability to take initiative, overcome obstacles, solve problems and deliver consistent results
