About the role
The Chocolate Academy Coordinator manages daily operations by balancing administrative support, event coordination, and hospitality management. In this role, you will plan and execute workshops and training sessions while upholding the brand's high standards of excellence. The position requires a highly organized and communicative individual who thrives in a dynamic, customer-focused environment to ensure the academy runs efficiently.
Key responsibilities include
- Event Planning and Management: Collaborate with the Head of Chocolate Academy and other team members to plan, execute, and manage events, workshops, and training sessions, including the annual Regional Chef Seminar. Coordinate logistics for events, including venue selection, catering, equipment rental, and staffing.
- Administrative Support: Act as the first point of contact for colleagues, clients, and stakeholders. Manage the scheduling and booking of meeting rooms, chefs, and resources. Provide general administrative support, including follow-up on incoming requests from sales and customers.
- Hospitality Services: Ensure a welcoming, professional hospitality experience for guests and participants, including managing catering services and collaborating with vendors.
- Marketing and Promotion: Assist in promoting events through various channels (social media, email marketing) to increase participation and awareness. Collaborate with the marketing team to create promotional materials that align with the Academy’s brand messaging.
- Budget Management and Reporting: Monitor and track event expenses, ensuring adherence to budget guidelines. Process event billing and align on a monthly basis with the Head of Chocolate Academy.
- Collaboration and Teamwork: Work closely with cross-functional teams (marketing, sales, operations) to ensure smooth event execution. Foster a collaborative and positive team environment with internal stakeholders, including chefs and other support staff.
About you
- Education: Strong experience in Hospitality Management, Event Planning, or a related field is preferred.
- Fluent in English; proficiency in Dutch and French is highly advantageous.
- Technical Skills: Proficient in Microsoft Office and event management software. Experience with booking systems and billing software is beneficial.
- Proven experience in event planning and hospitality management, preferably in the culinary or food industry.
- Strong organizational and project management skills, capable of managing multiple events simultaneously.
- Experience in logistics coordination (venue selection, catering, equipment) and vendor management.
- Knowledge of budget management and expense tracking.
- Ability to work with internal and external stakeholders to ensure seamless event execution
- Excellent interpersonal and communication skills with a customer-centric approach.
