About the Role
The District Manager shall primarily be responsible for the sourcing and purchasing of good quality cocoa as per the standards prescribed by the Ghana Cocoa Board (‘Cocobod’) and the Quality Control Company (‘QCC’) and the laws of Ghana. The role involves enhancing the Company’s market share within the assigned district, maintaining accurate financial records and supporting the projects of the Sustainability team.
Key Responsibilities
- KEY RESPONSIBILITIES & SCOPE
- Cocoa Sourcing and Purchase:
- Source and Purchase high-quality cocoa in compliance with QCC standards
- Ensure sourcing and purchasing activities adhere to the legal requirements of the laws of Ghana
- Ensure that all transactions are done in compliance with the rules and regulations set out by Ghana Cocoa Board
- Oversee the storage and preservation of cocoa to maintain quality.
- Supervise warehouse activities and Warehouse Officers during the grading and sealing processes.
- Manage the timely evacuation of cocoa to designated ports
- Perform additional related activities to achieve sourcing objectives.
- Cocoa Sourcing and Purchase:

- Growth of Market Share
- Promote and expand the Company’s market share within the Assigned District.
- Meet and exceed volume targets set for the Assigned District.

- Administrative Duties:
- Relate with and supervise agents who will support in the purchasing (‘Purchasing Clerks’) and transportation of the beans.
- Supervise and monitor the activities of other district staff
- Ensure and monitor accurate record keeping of all company’s assets/tools of trade and their proper usage and maintenance
- Reporting all misconduct to the Sector Manager
- Ensure efficient record – keeping and storage of official and administrative documents
- Put in place strategies to enhance the image and the performance of the Company
- Ensure that, all activities are done in conformity with the Cycle Time parameters set by Management of the Company
- Administrative Duties:

- Financial Duties
- Responsible for the allocation and disbursement of seed fund to the Purchasing Clerks.
- Ensure proper records keeping on all seed fund transaction.
- Ensure that the purchase details are properly entered in BBS and K-App as provided by Management
- Ensure that all transactions are done in compliance with the rules and regulations set out by Ghana Cocoa Board
- Ensure proper books of accounts are properly filled and kept.
- Ensure the district daily reports are filled.
- Ensure timely submission of daily updates via SMS to be sent to the IT Department at the Head Office.
- Submit signed weekly returns / reports to the Sector Manager’s office (hardcopy).
- Submit signed End of Season Report to the Sector Manager’s office (hardcopy).
- Ensure the warehouse ledger is properly updated at all times

- Responsible for the payment of commission on cocoa received
- Make available all District records to the Audit Team during audit.
- Ensuring timely payment and submission of farmer bonuses/Premiums

- Sustainability, Farmer Relations and Compliance (Traceability)
- Ensure that all farmers within the Assigned District who supply cocoa to the Company are full data complaint.
- Ensure that all farmers and agents engaged in the sourcing and purchasing process within the districts comply with the Ghana Cocoa Traceability System.
- Support the sustainability team with projects and initiatives.

About You
- Bachelor’s Degree/ HND in Agriculture, Business Administration or a related field with 3–5 years’ experience in any role related to cocoa supply chain will be an added advantage
- Strong knowledge of QCC requirements and general Cocobod standards/ requirements with proven experience in cocoa procurement and market development
- Ability to manage financial records and administrative tasks accurately.
- Interpersonal & communication skills – verbal, written to include report writing
- Proficiency in MS Office application – Word, PowerPoint and Excel to a competent standard.
- Proactive and results-oriented approach with strong analytical skills and attention to detail
- Able to motivate and work under pressure, self-discipline, tactful, reliable and trustworthy
- Able to identify the cost components and all the risk factors of the cocoa supply chain and have the ability to convert cash advanced to the District Manager into cocoa within a stipulated time communicated by the company
- Ability to lead, plan, co-ordinate and monitor in order to achieve results as well as instill discipline in the Purchasing clerks as well as the district teams
- Willing to reside upcountry with 70-80% travelling time to operating communities.
