About the Role

The District Accounts Officer is responsible for ensuring proper and accurate records are kept for all funds received and disbursed. Ensuring quality stocks are received for all seed fund allocated to the district as well as all records on farmers/Purchasing Clerks of the stocks received are maintained. Updating Katchile app at the district level and daily transactions of activities within the district are sent to the IT department through Biolands Business system (BBS). The Direct Accounts Officer will report to the District Manager.

 

Key Responsibilities

Technical/Operations duties:

  • Ensuring quality and equivalent stocks are received for all seed fund allocated to the district.
  • Responsible for the accounting of all company assets and tools of trade at the district.
  • Keeping proper books of accounts for all transactions at the district including all the societies (i.e. society waybills, monitors, ledgers etc.)
  • Timely submission of daily reports (SMS) and traceability reports to the head office;
  • Record receipt of cocoa from the societies with farmer details and preparation of siding depot waybill;
  • Ensuring grading / Sealing & Evacuation.
  • Responsible for quality, evacuation of sealed stocks to the ports; keeping proper record on cocoa receipt/ evacuation to the port;
  • Assist the district manager in carrying out his duties if the need be.
  • Reporting all misconduct to the head office

 

Data Management

  • Work closely with District Manager and the Area Traceability Officer on Traceability and related issues.
  • Placing phone calls to Purchasing Clerks to arrange for field data collection and ensuring Purchasing Clerks’ list is always updated.
  • Ensure that the Purchasing Clerks keep proper records on all their delivery farmers.
  • Ensure volumes delivered by farmers are recorded in both the Purchasing Clerk’s stock control book and farmer passbook.
  • Collection and collation of deliveries data from Purchasing Clerks as well as verifying and confirming farmer listing/deliveries with PC
  • Verifying volumes deliveries sheet against sourcing records
  • Make appropriate entries into designated web base platforms and Android applications - Katchile
  • Store all paperwork in designated places securing the important documents.
  • Follow policies and confidentiality dictations to safeguard data and information
  • Any other tasks that may be assigned by supervisor

 

About You

  • First degree /HND/ACCA I/ ICAI/CIMAI with Accounting option
  • Minimum 2 years of experience in field data collection in the cocoa bean sourcing industry 
  • Ability to lead and be able to plan, co-ordinate and monitor in order to achieve results
  • Proficient in MS Office application – Word, PowerPoint and Excel to a competent standard
  • Good report writing, communication and interpersonal skills and a team player
  • Self-motivated with good time and stress management skills.
  • Fluent in English, ability to speak a local language is a plus
  • Willing and able to work in the rural communities of Ghana.
