SCOPE AND RESPONSIBILITIES:

 

Summary:

 

The incumbent will support the Head of the Chocolate Academy and Academy chefs by organizing the activities related to the Chocolate Academy both on and off site.  Responsible for the office administration, department support and projects as requested.

 

Essential Functions:

 

  • Develop and maintain the Academy activity calendar for all Technical Advisors and Academy activities. (Courses, demonstrations, events, etc.)
  • Coordinate all phases of Academy courses from course development to execution and follow up.
  • Organize all aspects of internal and external chef demonstrations.
  • Provide extensive administrative support to the Academy team.
  • Oversee scheduling and organization for all events at the Academy (e.g. public courses, customer trainings, internal employee training, etc.)
  • Ensure Academy space is well maintained.
  • Facilitate Academy marketing including but not limited to: website maintenance, e-newsletter, customer correspondence and social media.
  • Manage the external and internal logistics relating to hotel reservations, caterers, transportation, printing companies, etc.
  • Respond to inquiries received on the company website, by mail or by phone.
  • Maintains the Academy database.
  • Coordinate all phases of Academy courses and manage customer experience: website registration, organize payments, customer communications, course materials, greet and host customers.
  • Manage Academy expense report.
  • Ensure Health Code procedures are in place for Health inspection.
  • Receive and organize all Academy requests.

 

JOB QUALIFICATIONS:

 

Education & Work Experience:

 

  • Bachelor’s Degree or Technical Degree in culinary studies preferred
  • Knowledge and experience in the food industry
  • Highly proficient in Word, Excel, Access and various software systems including but not limited to: website maintenance, social media tools, e-newsletters, etc.
  • Professional, sociable, methodical and extremely well organized
  • Ability to deal in changing environment and ambiguity
  • Basic understanding of Marketing principles
