Barry Callebaut is seeking an energetic and enthusiastic Office Administrator to join our regional corporate team in Chicago. This highly visible role is the first point of contact for employees, customers, and Chocolate Academy guests. The role is responsible for delivering exceptional customer service, impacting the candidate experience, coordinating day-to-day operations, and maintaining an organized, best in class work environment. Key responsibilities include: 
 

  • Create a welcoming and professional first impression of the company by greeting visitors including customers, vendors, and prospective employees 

  • Conduct daily office walk-throughs to ensure conference rooms, equipment, and common spaces are in good working order  

  • Planning and executing events, including business meetings and celebrations 

  • Building positive relationships with our suppliers, service providers, and vendors 

  • Assist the Leadership Team and Executive Assistant with planning internal and external meetings with room management, catering, and visitor support  

  • Interface with building management and vendors 

  • Manage inbound and outbound mail via USPS, FedEx, and UPS

  • Organize safety committee activities and participate in social activities committee 

  • Manage general incoming phone inquiries and reconfigure phone tree

  • Negotiate contracts with current and new vendors 

  • Maintain stock of office supplies as needed 

  • Provide recruiting support by arranging phone screens, on-site interviews, distribute new employee information, and conducting background checks and drug screens


About you:
 

  • Bachelor’s Degree or 3 years of relevant office administration experience  

  • Proficiency in Microsoft Office Suite and/or Google Suite

  • Strong organizational skills, flexibility, and ability to handle multiple tasks in a fast-paced work environment Strong written communication skills with outstanding verbal communication skills 

  • Demonstrates enthusiasm for building relationships 

  • Reflects the BC values of entrepreneurship, passion, customer focus, team spirit and integrity
