About the role:
As a Management Assistant, you will play a vital role in supporting the Transformation Leadership Team, comprising the Head of Global Transformation, the VP Pricing Excellence and Simplification, the VP Global Commercial Transformation, and the Sr Director Global Services and G&A Strategy. Located across Zurich, Wieze, and Lodz, these leaders rely on your administrative expertise to help them achieve their business objectives.
In addition to managing key administrative tasks, you will be part of the global Assistant Network. This community enables knowledge sharing, skill development, and mutual support to ensure our senior leaders are fully equipped to meet their goals.
Key responsibilities:
- Agenda Management: Organize and coordinate schedules, ensuring meetings are arranged based on defined priorities.
- Travel Arrangements: Handle bookings for flights, hotels, transportation, and visas.
- Expense and Invoice Management: Process expense reports, approve direct report expenses, and manage vendor invoices.
- Stakeholder Relationships: Act as the focal point for internal and external contacts, building professional working relationships.
- Event Coordination: Support the organization of team events, activities, and celebrations.
- Onboarding Support: Prepare for new hires, including onboarding agendas, materials, and visit cards.
- Point of Contact: Serve as the primary contact person for the department.
- Assistant Network Engagement: Actively participate in Assistant Network meetings to share best practices and develop skills.
About you:

Vocational or university training in business, economics, management assistance, or a related field.

Proficient in English (other languages are an advantage).

Ideally, 5+ years of experience in a Management Assistant or similar role within an international environment.

Proven ability to support multiple stakeholders with competing priorities.

Strong computer literacy; experience with Google Suite, SuccessFactors, SAP, Concur, and RemedyForce preferred.

Exceptional organizational and multi-tasking abilities.

Service-oriented mindset with a proactive and problem-solving attitude.

Strong stakeholder management and interpersonal skills, capable of interacting with people at all organizational levels.
