ABOUT THE ROLE 

 

The Maintenance Coordinator plays a critical role in ensuring that the prepared maintenance activities are performed on time. They focus on maintenance efficiency by determining the "when" and "who" of maintenance activities within the BCOS (Barry Callebaut Operating System). This role focuses on resource optimization, assigning the right personnel at the right time, and ensuring that maintenance activities are scheduled to minimize disruptions to production. The Coordinator works closely with the Planner to ensure that maintenance tasks are timely prepared (incl. kitting and documentation) and the Operations so that maintenance activities are seamlessly integrated into the production schedule. Depending on the size of the maintenance organization and what is more appropriate locally, the coordinator may be supervising a team of technicians directly instead of having the technicians reporting into the Asset Manager.

 

KEY RESPONSABILITIES INCLUDE

 

  • Develop and maintain daily, weekly, and monthly maintenance schedules for the plant, ensuring efficient use of resources and minimal impact on production
  • Coordinate the timing of maintenance activities by determining "when" tasks will be performed and "who" will be assigned, based on availability and skill sets
  • Ensure that maintenance schedules are aligned with production plans, working closely with the production team to minimize downtime and ensure smooth operations
  • Serve as gatekeeper for emergency production calls. Adjust maintenance schedules in response to emergencies, production changes, or other unexpected events, ensuring flexibility while maintaining operational efficiency. Determine whether to immediately dispatch a technician
  • Monitor the availability of equipment, parts, technicians, and other resources to ensure scheduled maintenance tasks can be executed on time
  • Maintain technicians’ calendar and skill sets in the CMMS (Computerized Maintenance Management System)
  • Track maintenance activities completion, ensuring that transactions are timely documented in the CMMS and maintenance records are up-to-date
  • Drive continuous improvement by analyzing scheduling data and metrics to identify opportunities for optimization and efficiency.
  • Collaborate with the maintenance and technical teams to ensure all scheduled work complies with safety, environmental, and food safety standards

 

ABOUT YOU

 

  • A technical certification or associate degree in a related field, or equivalent technical experience.
  • Minimum 3 years of experience as a maintenance technician or maintenance coordinator in a manufacturing environment (preferably in food manufacturing).
  • Strong understanding of maintenance scheduling principles, including resource management, labor coordination, and asset availability.
  • Proficient in using CMMS or scheduling systems to manage maintenance work and resources.
  • Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
  • Excellent communication and collaboration skills, with the ability to work closely with production, planning, and technical teams.
  • Fluent in the local language; additional language skills are a plus.
  • Experience in balancing the needs of production and maintenance to ensure minimal downtime and maximum asset reliability.
  • Flexibility to adjust schedules in response to emergencies or changing production needs.
  • 5+ years’ experience leading and managing large teams
  • Has lead maintenance and engineering departments
  • Technically astute and understands various types of equipment, systems, and facilities.
  • Understands all aspects of product manufacturing and operational protocols (e.g. GMP, HACCP, etc.)
  • Excellent communication (written and verbal) skills both upward and downward
  • Works well under pressure, enabling his/her team to thrive under all circumstances
  • Strong analytical and problem-solving capabilities
  • Comfortable with managing positive change
  • Self-starter and results-driven mindset
  • In the operating model, the coordinator role naturally consolidates legacy functions formerly handled by team leaders, supervisors, and schedulers
