About the role

  • To support line manager on freight-vendor invoice management i.e. collecting/tracking/matching and analysis.
  • To provide support to site shipping team, commercial team, and liaising with key vendors including carriers/forwarders in executing freight/shipment smoothly. 
  • To support the day-to-day management of regional/local shipping operations including shipment tracking.
  • To provide standard reporting on freight cost and tender allocation for management review.


Key responsibilities include

  • Liaise with carriers/forwarders to the agreed transport costs and ensure the best possible solutions are found to fit the customer’s requirements - vessel sailing schedule and vessel space availability.
  • Monitor the progress of the shipment and follow up with the carriers/forwarders to ensure timely delivery to the customers.
  • Receive carrier‘s freight invoices and ensuring that they are correct and passed to the appropriate department for processing.
  • Process freight invoices in accordance with established procedures and standards.  Follow-up with accounts on the payable issue to expedite the collection of bills of lading from carriers/forwarders.
  • Maintain and file all records in accordance with company procedure.
  • Support in resolving problems concerning transportation, imports, and exports or customer issues.
  • Providing reports to management to show carrier metrics and vendor performance.
  • Assist the Commercial team with the air-freight quotation.
  • Other jobs as assigned by line manager
  • Internal stakeholders:
    • Commercial Dept.: Provide freight quotation for contracts.
    • Accounts Dept.: Ensure freight invoices entered in the company computer system are correct before handing them over to them for updating into the accounting system
    • Freight Procurement: Liaise with HQ freight procurement to secure the best freight rate.
    • Manufacturing Units: Assist the site shipping team to get the earliest vessel space to meet customer’s shipment requirements.
  • External stakeholders:
    • Freight Carriers / Forwarders: Support Manager in negotiation for the most cost-effective freight rate. Secure the best freight space for our customers.


About you

  • Applicants need to be educated to a high standard and possess a recognized general educational qualification. May substitute experience for education.
  • Minimum of 2-3 years of logistics/freight forwarding or finance (Polomas, invoice management) experience in fast-paced environments.
  • Ability to operate a computer with Microsoft Office, Adobe Acrobat, Polomas/SAP, and another proprietary/ data entry software.
  • Knowledge of shipping incoterms, basic accounting, and payment terms.
  • Must be able to multitask and work under tight deadlines.
